We’re looking for a Marketing & Customer Service Coordinator, a creative, organized, and heart-led person, someone who is deeply aligned with our mission, who lives and breathes conscious marketing, community connection, and holistic wellness.

About the Role

This is a multi-faceted, hands-on role (min. 20 hours per week) that combines customer service, social media content coordination, community engagement, and light marketing execution.
We’re looking for someone who is organized, tech-comfortable, and adaptable, someone who can switch hats between marketing, content creation, and community care with both joy and efficiency.

This position is highly execution-focused and ideal for someone who loves turning creative ideas into practical action and seeing projects through from start to finish.

You’ll work closely with our founder to ensure Herbal Cacao’s message is shared consistently and authentically across all platforms. We’re seeking a motivated, creative, and intuitive communicator who thrives on building relationships, understands our customers deeply, and feels part of the heartbeat of Herbal Cacao’s journey.

You’ll be the golden link between our brand, team, partners, and community. Helping us weave connection, authenticity, and growth into everything we share.

Key Responsibilities

Community Care & Customer Service

• Provide customer service support by processing daily orders and managing our inbox, ensuring every message is acknowledged and actioned with care.
• Engage with the Herbal Cacao community daily through comments, DMs, and emails.
• Build trust and authentic connection through genuine communication, storytelling, and care.
• Anticipate customer needs. You understand what they want, need, and feel.
• Proactively identify opportunities for collaborations, partnerships, and UGC.
• Use tools and software to enhance engagement while maintaining a personal, heart-led tone.
• Monitor community sentiment and share feedback and insights from customers with the team.
  

Content & Marketing Execution

• Repurpose existing content (photos, blogs, videos) for multiple platforms using marketing and AI tools.
• Schedule and manage posts on Instagram, TikTok, Pinterest, and LinkedIn.
• Assist with small marketing projects such as campaign coordination, landing page creation, and marketing materials for events and new offerings.
• Support the implementation of marketing SOPs for consistent output.
• Use creative marketing skills to bring projects from idea to execution,  in alignment with Herbal Cacao’s brand voice and mission.
• Provide a one-month content calendar in advance, based on our templates and content repurposing strategy for Instagram (with Facebook cross-sharing)
• Daily posting on Instagram stories with Facebook cross-sharing.
• Transform founder-written blogs into captivating visual and written stories.
• Repurpose content for TikTok, Pinterest, and LinkedIn, applying platform-specific strategies outlined in our guide.
• Pinterest: set up, manage, and grow the platform (repurposing blogs and visuals).
• Stay ahead of marketing trends, social media shifts, and emerging AI tools to keep Herbal Cacao’s presence fresh, relevant, and authentic.
  

Community Engagement

• High-level daily interaction across all social platforms, responding to comments, DMs, and messages within 24 hours.
• Build trust and authentic connection through genuine communication, storytelling, and care.
• Proactively identify opportunities for collaborations, partnerships, and UGC.
• Use tools and software to enhance engagement while maintaining a personal, heart-led tone.
  

Analytics & Organization

• Track content performance and engagement using analytics tools, providing short monthly summaries of insights and improvement ideas.
• Maintain content calendars and ensure timely delivery of scheduled posts.
• Coordinate with the team for product launches, collaborations, and events

• Unterstützung der Einrichtung lokaler Vorgänge:
  Unterstützen Sie uns bei der Organisation der Logistik und des Betriebs unserer Niederlassung in Italien – von der Ermittlung potenzieller Erfüllungsoptionen bis hin zur Beratung zu lokalen Prozessen.
• Als Markenbotschafter fungieren:
  Repräsentieren Sie Herbal Cacao mit Authentizität und Integrität in Italien und pflegen Sie Beziehungen, die über das Geschäftliche hinausgehen – basierend auf gemeinsamen Werten und gegenseitigem Wachstum.
• Zusammenarbeit mit dem HQ-Team:
