1. Operations Manager

At Herbal Cacao, every role is infused with purpose and heart.  We are excited to offer a part-time opportunity for an Operations Manager to join our family.

In this role, you will embody the essence of our mission by managing the day-to-day operations of Herbal Cacao with a blend of efficiency and love. Your responsibilities will include managing the day-to-day activities of Herbal Cacao’s operations, including planning, directing, and coordinating the operations of the supply chain, guiding our team with inspiration and compassion, and ensuring that our operations align harmoniously with our vision.

As our operations manager you will have a broad range of responsibilities, crafting and implementing operational policies and procedures that resonate with our values. Whilst optimising inventory and margins to nourish both our business and community. You will be directly responsible for supervising the daily activities, from our team, (people, resources, and content) production and logistics and ensuring efficiency and effectiveness. You understand the impact of your tasks and decisions on the business and the team. Additionally, you are responsible for managing different projects and events.  You have experience with process optimization as a leader and you dare to make independent decisions. 

You focus on both long-term and short-term goals. This involves determining what is needed on a daily, weekly, and monthly basis for your team and receiving quarterly and yearly goals to work on with your team to achieve the set bonuses. Your ability to see the bigger picture will enable you to navigate challenges and opportunities with grace and insight. Your leadership will create an environment where every team member feels supported and empowered to contribute their best.

You know how to motivate and challenge people to come up with initiatives and improvement proposals themselves. Responsibilities:

  • Managing our daily operations 
  • Leading and motivating the team to improve productivity, quality, and customer service
  • Maintaining good communication with the team,- Organise regular meeting to manage goals and objectives of all team members and support their growth
  • Building and maintaining good relationships with customers and suppliers
  • Administratively proficient and work in a structured manner following procedures.
  • Analyzing production and logistics data to improve product quality and customer satisfaction
  • Ensuring smooth and efficient production and logistics planning
  • Ensuring compliance with all legal and safety regulations
  • Lead new projects and events and delicate task throughout the team

Qualifications

  • Work experience in operations management or a related field
  • Excellent organizational and project management skills
  • You possess strong skills in communication, problem-solving, decision-making, and interpersonal relations
  • Demonstrated ability to lead and manage a team
  • Preferably you are proficient in both Dutch and English languages, both written and spoken.
  • You have general technical skills: Google Workspace, Excel 
  • Affinity with our products is a most

Working hours: Minimum number of hours per week 20 -25  | 4-5 hours per day  (Mon to Fri)]

Contract: This role offers the chance to start as a freelancer with the option for a contract position within the company in the (near) future.

2. Customer Service & Administrative Assistant

We are looking for a dedicated and independent Customer Service & Administrative Assistant to join us on this journey. If you are someone who resonates with our values and is eager to contribute to our growing community, we would love to hear from you.

Responsibilities:

As a Customer Service & Administrative Assistant, you will be the heart and soul of our customer interactions. You will manage the [email protected] email inbox and our Instagram inbox, ensuring that every customer and follower feels welcomed and valued. Your role will be crucial in creating personalized experiences that reflect genuine care and understanding. By actively listening to our customers’ needs and addressing their concerns, you will help us foster a sense of community and trust.

In addition to customer service, you will handle various operational tasks, including acting as the primary contact with our fulfillment center for order processing, manually inputting B2B orders, and managing communications related to transport issues, returns, and complaints. Your efficiency in problem-solving and your commitment to quick responses will ensure that our customers feel supported every step of the way.

Your administrative responsibilities will include maintaining monthly records of online sales, verifying and updating invoices, and keeping our weekly worksheets and daily Google Calendar reminders up to date. You will also be an active participant in our team meetings, contributing your insights and ideas to help us continually improve.

Engaging with our community is another key aspect of your role. You will actively respond to comments, like posts, and encourage partner events. By anticipating the needs of our partners and gathering their feedback, you will help us build deeper connections and deliver exceptional value. Posting weekly in our community, whether by asking questions or organizing polls, will further enhance interaction and engagement.

Qualifications:

To thrive in this role, you must have a passion for ceremonial cacao and medicinal mushrooms, along with experience in customer service and administration. Fluency in both Dutch and English, excellent communication skills, and the ability to work independently are essential. Familiarity with social media platforms, reliability, and a proactive attitude will also be crucial to your success.
